Lesson 5 of 10 · 5:06
Create, save, and publish a view
How a view saves a question about your work items, from the filters that ask it to who can see the answer.
What you will learn
- A view is a saved question about work items: its filters, its layout and display, and its access. It never moves or copies a work item, and Plane asks its question again each time it opens.
- Each project keeps its views in the Views tab, on by default. Inside a view, changes last until you leave it; Update view saves them for everyone, the layout and grouping included, and Save as saves a new view.
- Add view builds a view from scratch, and its filter bar asks two ways. The Basic tab builds filters from a work item's properties, modules and cycles included. The PQL tab takes a one-line query, such as the work items in whichever cycle is active today, and the view saves it like any other filter.
- A view only shows work items in the project. A request from Intake appears once it's accepted, and never while it waits in Intake.
- Views are public by default. On Pro and higher plans, a project view can be published: anyone with the link can open it without an account; comments, reactions, and votes are optional and need a sign-in; Unpublish ends the link.
- On Pro and higher plans, a view can be private, so nobody else sees it, not even admins, unless it's shared, or locked, so nobody can change its filters or layout, not even for themselves.
- Workspace views work across projects: four built-in views (All work items, Assigned, Created, and Subscribed) and your own, whose filters reach every project you're in.
What a view is
0:00A view is a saved question about your work items. Its filters ask the question. Its layout and display shape the answer. Its access decides who can see it.
A view never moves or copies a work item. Each time it opens, Plane asks its question again, so the answer is current. Views work in one project or across your projects.
Change a saved view
0:29Each project keeps its views in the Views tab.
- Open a saved view from the project's Views tab.
- Switch the view to List.
- Open Display, then under Group by, choose Cycle.
- Click Save, then Update view to save the changes for everyone who opens it.
Work items that are not in any cycle sit under None.
Unsaved changes inside a view last only until you leave it. Update view saves the layout and grouping too.
Save as keeps the original and saves your version as a new view.
Create a view
1:20Views are on in every new project. A project admin can turn them off in Project settings, under Features, then Views.
- Open the project's Views tab and click Add view.
- Give the view a title, then choose its layout and Display settings.
- In the Basic tab, click Filters and choose conditions from work item properties.
- Click Create View.
Basic filters can use a work item's module and cycle.
A request from Intake appears in a view once the team accepts it, like any other work item. Requests still waiting in Intake never appear in a view.
The filter bar also has a PQL tab for Plane Query Language. To create a view of work items in whichever cycle is active today:
- In the project's Views tab, click Add view and give the view a title.
- Open PQL and enter
cycle IN (activeCycle()). - Click Create View.
A basic filter names the cycle, so it needs changing when the next one starts. The query always means the active cycle, and the view saves it like any other filter.
The Views tab lists every view you can open, with its owner. Click a view's star in the list to keep it in the sidebar under Favorites.
Publish a view
2:48Views are public by default, so everyone in the project can open them. On Pro and higher plans, you can also publish a project view to the web.
- Open the project view, then open its ⋯ menu and choose Publish.
- Choose whether visitors can comment, react, or vote.
- Click Publish.
- Click View site to open the published page.
Anyone with the link can open the view without a Plane account.
The page shows the saved layout and the work items as they are when it opens. Visitors sign in to comment, react, or vote.
Unpublish stops the link from working.
Make a view private or locked
3:27On Pro and higher plans, a view can be private. To create a private view:
- In the project's Views tab, click Add view and give the view a title.
- Open Access and choose Private.
- Click Create View.
Nobody else sees a private view, not even admins, unless you share it.
Locking a view is on Pro and higher plans too. Open the view's ⋯ menu and choose Lock.
A locked view keeps the filters and layout the team agreed on. Nobody can change them, even for themselves.
Contributors can edit, lock, or delete the views they made. Project admins can do the same to any public view.
Use views across projects
4:05In the workspace sidebar, Views starts with four built-in views: All work items, Assigned, Created, and Subscribed.
Choose Assigned from the view switcher to see everything assigned to you across your projects.
To create your own view across projects:
- Open Views in the workspace sidebar and click Add view.
- Give the view a title and set its filters.
- Click Create View.
The filters reach across projects.
Workspace views can be private or locked too. Only project views can be published.
Try it in your workspace
Open a saved project view, switch it to List, group by cycle in Display, then save the changes with Update view.

What a view is
0:02In Plane, a view is a saved question about your work items. Its filters ask the question. Its layout and display shape the answer. And its access decides who can see it.
0:16A view never moves or copies a work item. Each time it opens, Plane asks its question again, so the answer is always current. Views work in one project or across all your projects.
Change a saved view
0:29Let's take a closer look.
0:35Each project keeps its views in the Views tab. Launch blockers, one of the team's views, lists the critical bugs that aren't completed yet.
0:46To see which of them are planned into a cycle, switch the view to List, then group it by cycle in Display.
0:55CORE-30 is in the Reports launch cycle. CORE-31 and CORE-32 aren't in any cycle yet, so they sit under None.
1:05Changes you make inside a view only last until you leave it. Update view saves them for everyone who opens it, layout and grouping too. Save as keeps the original and saves your version as a new view.
Create a view
1:24Views are on in every new project. A project admin can turn them off in Project settings, under Features, then Views.
1:34To ask a new question, open the Views tab and click Add view. Give the view a title, then choose its layout, display, and filters.
1:45The Basic tab builds filters from a work item's properties, its module and cycle included. PDF export bugs uses two basic filters: Type is Bug, and Module is PDF export.
2:01CORE-40 came in through Intake. The team accepted it, so the view picks it up like any other work item. Requests still waiting in Intake never show up in a view.
2:14The filter bar has a second tab, PQL, for Plane Query Language. One short query asks for the work items in whichever cycle is active today.
2:27A basic filter would name the cycle, and need changing when the next one starts. The query always means the active cycle, and the view saves it like any other filter.
2:40The Views tab lists every view you can open, with its owner. Star a view, and it stays in your sidebar, under Favorites.
Publish a view
2:52Views are public by default, so everyone in the project can open them. On Pro and higher plans, you can also publish a project view to the web.
3:03You choose whether visitors can also comment, react, or vote. Publish, and anyone with the link can open the view, without a Plane account.
3:15The page shows the view's saved layout and its work items as they are when it opens. To take part, visitors sign in. Unpublish, and the link stops working.
Make a view private or locked
3:31On Pro and higher plans, a view can also be private.
3:38Nobody else sees it, not even admins, unless you share it.
3:44Locking a view is on Pro and higher plans too. A locked view keeps the filters and layout the team agreed on. Nobody can change them, not even for themselves.
3:57Contributors can edit, lock, or delete the views they made. Project admins can do the same to any public view.
Use views across projects
4:09Views also work across projects. In the workspace sidebar, Views starts with four built-in views: All work items, Assigned, Created, and Subscribed.
4:23Assigned, for example, lists everything assigned to you, across all your projects.
4:30Add view creates your own, and its filters reach across projects. Say, urgent work items that aren't done yet, in any project.
4:41Workspace views can be private or locked too. Only project views can be published.
Recap
4:49A view's filters ask the question. Its layout and display shape the answer. And its access decides who sees it. Open it any time, and the answer is current.
